About this version. This policy covers the current Vispora pilot — a limited, invitation-only trial with a small number of clinicians who are evaluating Vispora's in-clinic activities and familiarising themselves with the platform. During this pilot, Vispora is not used to collect personal or health information about children or families. Before Vispora is used with real client, family or child information, an expanded privacy policy and consent process will apply and replace this one.

1. Who we are

Vispora is operated by Mini Minds Child & Adolescent Health Pty Ltd (ABN 44 646 775 724) ("we", "us", "our"). We are the entity responsible for personal information handled through the Vispora pilot under the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth).

2. What this policy covers

This policy explains what personal information we collect through the Vispora website and the pilot platform, how we use and protect it, and your rights. It applies to pilot clinicians and to anyone who contacts us or joins our waitlist through the website.

3. Information we collect

During the pilot, we collect only what we need to run the trial:

We do not collect precise location, your contacts, microphone or camera data, or advertising identifiers.

4. Children's information

During this pilot, Vispora does not collect personal or health information about children or families. Pilot clinicians are asked to use only sample or de-identified content and not to enter real, identifiable client information into the platform while trialling it. Any future use of Vispora involving real client, family or child information will be governed by a separate, expanded privacy policy and consent process.

We use a small number of trusted service providers to run Vispora. They only handle the information needed to provide their service:

Some of these providers (Kinde, Formspree and Vercel) process limited information — such as a login or a waitlist email address — on servers outside Australia. We take reasonable steps to ensure your information is handled appropriately when this happens.

7. Where your information is stored

Platform data is hosted in Australia (AWS, Sydney region). As noted above, a limited amount of information is processed overseas by our authentication, waitlist and website-hosting providers.

8. How we protect your information

We take reasonable steps to protect personal information, including encryption of stored data (AES-256), encryption of data in transit (HTTPS/TLS), regular encrypted backups, restricted access to production systems, and audit logging of access changes.

You may ask us to access or correct the personal information we hold about you. To do so, or to ask a question about this policy, contact us at dan@vispora.com.au. We will respond within a reasonable time.

10. Retention

We keep pilot information for as long as needed to run the pilot. If you continue on to a full version of Vispora, your account information carries over to that version. If you do not continue, we delete or de-identify your pilot information within a reasonable period after the pilot ends, unless we are required to keep it by law.

11. Complaints

If you are concerned about how we have handled your personal information, please contact us first. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

12. Changes to this policy

We may update this policy as the pilot evolves. The effective date at the top shows when it was last updated.
